Data Deletion and Account Closure Policy
Index Harmony — Site Accessibility Platform for AI Search Engines and Agents · Effective date: 9 July 2026 · This is a courtesy translation; in the event of any conflict, the Turkish version prevails.
1. Purpose and Scope
This Data Deletion and Account Closure Policy (“Policy”) explains how Renkmobil Bilişim Turizm Optik Sanayi ve Ticaret Anonim Şirketi (MERSİS No. 0734074050328441, Trade Registry No. 198834, Tax office/No.: Hitit Tax Office / 7340740503, Address: Aziziye Mah. Dedekorkut Cad. Minilife No:5/1, Kapı No:1, Çankaya/Ankara, Türkiye, Registered e-mail (KEP): renkmobil@hs01.kep.tr) (the “Company”), which operates the Index Harmony platform (the “Platform”), handles account-closure, data-deletion and credit/Plan-termination requests, as well as requests under Turkish Law No. 6698 (KVKK).
This Policy covers (i) the web-based AI accessibility/visibility scanning and reporting service, (ii) the WordPress plugin “Fix Pack”, and (iii) credit/project-limit-based Plan services. It should be read together with the Terms of Service, Privacy Policy, KVKK Notice and Distance Sales/Subscription Agreement.
2. Definitions
- Company: Renkmobil Bilişim Turizm Optik Sanayi ve Ticaret Anonim Şirketi
- Platform: the Index Harmony website, dashboard and related digital services
- User: any individual or legal entity with a Platform account
- Credit: a usage unit consumed for scans and other Platform operations, granted under a Plan or purchased separately
- Fix Pack: the plugin the User installs on their own WordPress site to apply AI-accessibility fixes
3. Account Deletion Request
Users may delete their account directly via the “Close Account” function in the dashboard, or by contacting info@indexharmony.com. For security, the Company may verify your identity and account ownership.
4. Data That Is Deleted
Once an account-deletion request is confirmed, the following data is permanently (hard) deleted where technically feasible:
- User account (name, e-mail, password hash, settings)
- Scanned site/project records and scan history
- Scan results and report history
- Credit transaction history
- Fix Pack license keys and activation records
- API keys and integration tokens
- Notification preferences and history
- Support ticket records
- Password-reset tokens
- Scheduled scan settings
5. Data That May Not Be Deleted
- Tax, invoicing and accounting records (for the statutory retention period)
- Bank-transfer receipts and admin approval/rejection records
- Records needed to defend against a dispute
- Records kept by the payment provider, PayTR, in its own systems
- Anonymous free-scan logs that cannot be linked to an account
- Server and security logs
6. Special Note on the WordPress Plugin (Fix Pack)
When an account is deleted, the Company cancels the license record on the Platform and deletes related data on its own servers. However, changes Fix Pack has made to the User's own WordPress installation remain on the User's own hosting environment; the Company has no ability or authorization to remotely access that environment and delete those files. Users are advised to deactivate/remove the plugin from their own WordPress admin before closing their account.
7. Credits and Plans (No Auto-Renewal)
Plans do not auto-renew; an account-deletion request therefore does not require a separate “subscription cancellation” step. Any unused credit balance at the time of deletion is not refunded — except within the withdrawal-right window described in Sections 10–11 — and is deleted together with the account.
8. Free Scan Records
URL, IP address and timestamp data entered for free, account-less scans may be retained without being linked to an account, and may therefore not be automatically deleted upon account deletion.
9. Payment-Method-Specific Provisions
Payments may be made by card via PayTR or by bank transfer/EFT with manual admin approval. Refunds (only in the cases described in Section 10) are made via the corresponding method.
10. Right of Withdrawal and General Refund Policy
The Company does not, as a matter of policy, offer discretionary refunds (“no refund policy”). However, the statutory right of withdrawal remains fully reserved for any portion of an electronically-delivered service to which the User has not yet consented to performance. For unused credit or an un-activated Fix Pack purchase, the User may exercise the right of withdrawal within fourteen (14) days of the distance contract being formed, by notifying info@indexharmony.com.
11. Refund Process
Where the right of withdrawal is validly exercised, or in the event of a Company-caused technical failure or a duplicate charge, the Company refunds the relevant amount within five (5) business days at the latest.
12. Termination of Plan Use
A Plan expires automatically at the end of its period; the User must place a new order to continue using the service.
13. Irreversibility
Data deleted via hard delete may not be recoverable. Users are responsible for backing up any reports, invoices, receipts or other documents they may need before closing their account.
14. Your Rights Under KVKK
Under Article 11 of KVKK you have the right to learn whether your data is processed, request information, and request correction, erasure or destruction, among other rights. Requests are concluded within thirty (30) days at the latest.
15. Request Process
Requests may be sent to info@indexharmony.com.
16. Other Provisions and Effectiveness
The Company may update this Policy from time to time; the updated version is effective once published.
This document governs only data-deletion and account-closure processes for the Index Harmony Platform; for general principles on personal-data processing, see the KVKK Notice and Privacy Policy.
